When a Sponsorship Letter Is Required

If you are employed, you must submit a sponsorship letter (surat sponsor) issued by your employer. The original is needed for both a new passport and a renewal. It confirms your company knows about your trip and supports the application. It is a short letter, printed on company letterhead and signed by HR or a director. No notarisation needed. It is written in Indonesian, because an Indonesian immigration officer reads it.

Required Content

The immigration officer checks four things. A letter with all four is accepted whatever else it says; a letter missing one is returned, and your photo appointment is lost.

• Company letterhead. The letter is issued by your employer, so it is written on its own letterhead, with its address and contact details.
• Your name, exactly as on your e-KTP. A missing middle name already counts as a mismatch at the counter.
• Your position. This confirms you actually work for the sponsoring company.
• A signature from an authorised signatory. HR or a director, plus the company stamp if one is used.

After Signing

The letter goes into the file you hand to our document division, and you must also bring it to the photo appointment, with all your other originals.
